Archiving materials

If you no longer use materials, you can archive them to remove them from view and preserve them in your historical stock and cost calculations. 

Note: Archiving your material doesn’t change anything apart from where it appears in your lists – when you archive, it will stay in your lists and be returned from the search, but it will now only be visible when you select the “Archived” checkbox from the filter box on the side.

Archive a material

To archive any materials you no longer wish to display in your main materials page:

  1. Navigate to your materials page.

  2. Select the material(s) you wish to update by ticking the checkboxes on the left-hand side of each material row.


  1. Scroll down to the Batch selection box at the bottom of your materials list. 


  1. Select the Archive from the State menu for your material(s).

  2. Click the Update button, and the materials will be updated.


Note: Updating time will vary depending on how many products have been selected in the batch update. Archiving will only remove the materials from view; all stock calculations and costs will still be included in your reports and tallies.

Unarchive materials

To unarchive a material, follow these steps:

  1. Navigate to your materials page by clicking on the "Materials" tab.


  1. Set your filtering to show archived materials, and click the filter button.


  1. Select the material that you wish to unarchive from the list.


  2. Select "Edit" on the top right.


  1. Scroll down to the additional details and select the "State" drop-down.


  1. Changed "Archived" to "Active" in the drop-down.
