Add, edit or cancel an order

Learn how to add, cancel, or make changes to an order in Craftybase.

If you have an online store that integrates with Craftybase, learn how to connect an integration to import your orders automatically.

You can add orders manually if you sell your products offline (for example, at a farmers' market) or on a platform that hasn't integrated with Craftybase yet. If you need to change an order, you can edit it. If a customer cancels an order, you can cancel or remove it in Craftybase.

Add an order

To add a new order:

  1. Click Orders in the main menu.

  2. Click Add Order on the top-right side.

  3. Enter the customer name, order code, and the customer's delivery address.
  • If this is a new customer or they have a new delivery address, click the in the search field and and enter their details.

  1. Use the calendar picker to choose the date that the order was placed. 

  2. Click Add Order Item and search for each product included in the order. Choose the correct variations, if available.

  3. Enter any discounts, shipping fees, or taxes applied to the order. 

  4. Mark the order as Paid if the customer has already paid for the order. If not, leave it blank.

  5. Click Save Order.

If you're adding more than one order, click Save Order & Add Another to quickly add another order.

Craftybase automatically enters the unit price for each product in an order based on its base sale price. If your products were sold at a different price or quantity, you can edit the order.

Edit an order

To edit an order:

  1. Click Orders in the main menu.

  2. Click the order date or unique order code.
  3. Click Edit Details and make changes to the order.

  4. Click Save Order to save your changes.

If you add a customer message to the order, it will appear in the customer invoice. The customer won't see any notes you've added to the order.

Orders imported from an integration cannot be edited. You will first want to create a copy of an imported order, edit the copy, and remove the original.

Cancel or remove an order

If you cancel a customer order, it will still appear in your orders list. To cancel an order:

  1. Click Orders in the main menu.

  2. Click the order date or unique order code.
  3. Hover over the order name beside it and choose Cancel Order.

  4. Check if the order items and re-credit amounts are correct.
  5. Choose the cancellation date and enter a reason for the canceled order.

  6. Click Yes, Remove to confirm.

If you want to remove the order from your account:

  1. Click Orders in the main menu.

  2. Click the order date or unique order code.
  3. Hover over the order name beside it and choose Remove Order.

  4. Click Yes, Remove, and Delete to confirm.

If you remove an order, it will return all included product stock to your inventory. If you have any expenses associated with this order, choose the expenses you wish to keep to mark them as "unassociated".
